Most eDocs problems come down to a Common App link that isn't finished, a document attached to the wrong application, or a file that was sent before it was checked. This article covers the questions we hear most from students and educators, with the fix for each.
For the full walkthrough of Application Manager, see the eDoc Support Guide. If you are still stuck, email support@overgrad.com with the student's name, the student's email and the college involved.

My recommendations aren't showing up in Common App
A recommendation usually isn't missing. It is waiting on one of the steps below, and most of them are yours to check.
- Link your Common App account. Log in to Overgrad, go to Applications > View Applications and click Link Account. Sign in to the Common App account you already have rather than creating a new one. Step-by-step guide
- Sign your FERPA waiver in Common App. Nothing can be sent for a Common App application until it is signed, and you complete it in Common App, not in Overgrad. How to complete it
- Don't invite your counselor in Common App before you link. If you did, Overgrad reports "Counselor assigned in Common App" and can't send. How to remove the assignment
- Request recommendations in Overgrad. Counselor and teacher recommendations are requested in Overgrad, not Common App. The one exception is Other Evaluations (a coach, employer or clergy member, for example), which you request directly in Common App. How to request an Other Recommender
- Submit your application. A recommendation that has been sent shows as "In Common App" in Overgrad. It reaches the college only after you submit that application.
If you have done all five, ask your counselor to check the document's status. A recommendation marked Ready has been completed but not yet sent. Auto-Send is off by default, so someone has to send it.
I can't update application type or status in Overgrad
For Common App colleges, this is expected. Overgrad pulls those details from your Common App account, so some fields are locked in Overgrad and have to be changed in Common App.
- Application type (and other locked details): update it in Common App. The change syncs to Overgrad. If the plan has to differ in Overgrad, for example QuestBridge or Posse finalists who apply Regular Decision in Common App but are tracked as Early Decision, ask your counselor to email support@overgrad.com.
- Application status: a Common App application can't be given an outcome (Accepted, Denied, Waitlisted and so on) until you have submitted it. Once you submit, the sync sets the status to Applied, and after that you or your counselor can change it.
- Colleges not applied to through Common App: you can edit the application details yourself. If you initially planned to submit the application through Common App but are now submitting a different way, remove the college from your Common App list, then make the changes in Overgrad.
If you have submitted in Common App and the status still hasn't updated, confirm that you have linked your active Overgrad and Common App accounts.
For educators
A student has multiple accounts and linked the wrong ones
Email support@overgrad.com and we will unlink the incorrect account so the student can link again. This usually happens in one of two ways: the student has two Common App accounts, or two Overgrad accounts, and linked the wrong one. If the student sees a message that their Common App account is already linked to a different Overgrad account, it is the second case.
- Confirm the problem. Open the student's profile > Application Manager tab. The Common App Setup indicator shows Complete or Incomplete and whether a Common App account is linked.
- Email support@overgrad.com with the student's name, their Overgrad email, the email of the Common App account they should be using and, if they have two Overgrad accounts, the Overgrad email that should stay active.
- Have the student re-link. They sign in with the Common App account they already had, not a new one. Student linking guide
Don't delete the student's Overgrad account to start over. Deleted data can't be recovered, and an account that is still synced to Common App should be unlinked by our team first. Deleting a student account
Two related cases come to us often. If a student deleted their Common App account and created a new one, the Link Account button may no longer appear, so email us to unlink the old account. If a student linked Common App by mistake and applies another way, such as ApplyTexas, email us about disconnecting it while keeping their Overgrad account and application records.
To prevent this, remind students to create only one Common App account and to sign in to it when linking.
The student completed FERPA and the other linking steps, but nothing is coming through in Overgrad
The cause is usually a missing step, a counselor assignment, or a filter hiding the student. Work through these in order.
- Check the student's profile. Open the student's profile > Application Manager tab and read the Common App Setup indicator. It should read Complete, with a line confirming an account is linked.
- Confirm the colleges were added the right way. Students should add colleges directly to their lists in Common App. Documents populate only after that.
- Set the Assigned Counselor in Overgrad. The student also has to invite their counselor inside Common App, and both must be in place. Filling in Assigned Counselor in Overgrad ahead of time clears the invite step. A student with no Assigned Counselor leaves counselor documents in Action Required.
- Look for "Counselor assigned in Common App." If the student invited their counselor in Common App before linking, they need to remove that assignment. Steps to resolve
- Clear your filters. Caseload Overview opens filtered to the current senior class and to you as counselor, so a student can look missing when they aren't. Clear the Counselor chip or add the grad year.
- Check for a pause. While Pause New Applications & Document Requests is on, newly added Common App applications don't sync to Overgrad.
I uploaded and sent the wrong file (letter of recommendation, transcript, etc.)
What you can do depends on whether the document has been sent. Open the document's Document History to see exactly when it was uploaded and sent, and by whom.
Document status | What you can do |
|---|---|
Requested or Ready | Replace the file. For a Ready document, open its three-dot menu, choose Edit and select the correct file. For a Requested document, use Upload Document. |
Sent, In Common App or Downloaded | The file can't be replaced, unsent or detached. For a Common App college, the student requests an Optional Report to send corrected information. For any other college, contact the admissions office directly. |
The Optional Report can be used once per application year, so use it for the correction rather than for routine updates. How to send an Optional Report
There are multiple transcripts for the student and I only want to send one
An unsent transcript can be removed, replaced or detached from applications, so fix the extras before you send anything. You can access application documents from three places: the student's profile > Application Manager tab, or either the Caseload Overview or Applications tabs of the Application Manager.
- Find them. Open the student's profile > Application Manager tab. The Documents table lists every document for the student with its status. In the expanded application view, Documents Not Attached shows files the student has that this application isn't using.
- Remove the extra. Open the unwanted transcript's three-dot menu and choose Cancel Request if it was requested by mistake or is a duplicate. This is available only for documents that haven't been sent. If the extra transcript came from a bulk upload and you don't see Cancel Request, email support@overgrad.com with the student's name and we can remove it.
- Choose where the right one goes. Choose Manage attachments on the transcript you want. It lists the student's colleges, and you check or uncheck each one to attach or remove the document.
- Send just that document. From the document's three-dot menu, choose Send Documents. This sends the one document, unlike Bulk Send, which sends every Ready document on the applications you selected.
Common App colleges: the transcript travels inside the School Report, not as its own document, so the file attached to the School Report is the one the college receives. To change it while it is unsent, choose Edit on the School Report.
A document that has already been sent can't be unsent or detached, so check Document History before assuming a college has the wrong version.
All schools are receiving a document I meant to send to just one college via Common App
It is Common App policy that a document sent to a single school is available to all schools to which the student applies. Remove the document and send it directly to the college instead.
