Overview

Overgrad's Reports section lets you pull Activities data for your students into a customizable, downloadable CSV. You can use the default Activities report out of the box, or build a custom report to include exactly the columns and filters you need.

Note: The Reports feature requires the Pro reporting add-on. If you don't see the Reports tab, reach out to your Overgrad account manager.


Getting to the Activities Report

  1. From the main navigation, click Data & Reports > Custom Reports.
  2. Select the Activities report tab.
  3. You'll land on the All Activities report, a pre-built default report that includes Activity Type, Organization Name, Position, Total Hours, and Date Created for all of your students.

To export this report as-is, skip to the Exporting to CSV section below.


Creating a Custom Activities Report

If you want to choose your own columns, apply filters, or save a report for repeated use:

  1. From the Activities report page, click the report name dropdown and select Create a new report.
  2. Give your report a name (e.g., Senior Year Activities – Class of 2026).
  3. Use the report builder to configure your columns and filters (see below).
  4. Check the box for Save Report to make it available for future use.
  5. Click Run Report.

You can also modify an existing custom report by clicking ... next to the drop down and Edit current report.


Choosing Columns

In the report builder, check the boxes for the fields you want to include as columns. Available activity fields include:

You can also add student-level fields such as graduation year, grade, counselor assignment, and more to give each row additional context.


Adding Filters

Filters let you narrow down which activities appear in your report. To add a filter:

  1. In the report builder, click Add Filter.
  2. Choose a field to filter by (e.g., Activity Type, Total Hours, Still Participating?).
  3. Select a condition and enter a value. For example:
    • Activity Type equals Volunteer
    • Total Hours greater than 50
    • Still Participating? equals Yes
  4. Add additional filters as needed. Multiple filters are combined with AND logic by default, meaning all filter conditions must be true.

Running the Report

Once your report is configured, click Run Report (or navigate back to the Activities tab and select your saved report from the dropdown). Results load in a paginated table.

  • Click any column header to sort by that field.
  • The total number of matching records is shown above the table.

Your results are scoped to the students you have access to — if your account has limited access, only those students will appear.


Exporting to CSV

  1. From the report results page, click the Export to CSV button in the upper right.
  2. Overgrad will begin generating your file. You'll be taken to an export status page with a loading indicator.
  3. Once the file is ready, click Download to save the CSV to your computer.

The CSV will include all records matching your current filters, with columns in the order you selected. The filename will include your report name and a timestamp (e.g., Senior-Activities-2026-04-22.csv).


Only one export can generate at a time for the same report. The Export to CSV button will be disabled while a file is being prepared.


Viewing Past Exports

To access previously generated exports:

  1. From the report results page, click Past Exports.
  2. A list of all previous exports for that report will appear, ordered by most recent.
  3. Click Download next to any completed export to re-download it.
