Educators can use spreadsheets (CSV files) to bulk create or update student accounts. To do this, you must have Access to Student Data in your account settings.

Educators can now use spreadsheets to bulk edit existing student accounts (template found here). Educators must have access to student data in their account settings in order to bulk edit or upload students.

You can find support for bulk creating student accounts here, and individual accounts here.

Pre-work: Prepare Your CSV File

To update accounts: you must include at least Student ID or Email to identify records. You can either export student data from your Student Information System (SIS) or build your spreadsheet manually. You will find all supported fields on the Student Importer page. Ensure date fields are in mm/dd/yyyy or mm-dd-yyyy format.

  • Exporting from SIS
    1. Select the student records you want to include (e.g., all current students or specific grade levels).
    2. Select the fields to include.
    3. Save the export in CSV format.

  • Building in Excel or Google Sheets
    1. Place each student on its own row.
    2. Place each field in its own column.
    3. Ensure the first row contains headers that match the fields in Overgrad.
    4. Save/download the file as a CSV (.csv).

You may also  download a template CSV and add your data to it.

Step 1: Upload File

  1. In Overgrad, click your name and go to Your Name > School Account > Data Imports > Import Students.
  2. Click Choose File and select your CSV.

Step 2: Set Headers

  • For each Overgrad field listed on the page, use the dropdown menu to match it to the corresponding column from your CSV.
    • Once processed, your updates override any existing data in Overgrad. For safety, only include the students and fields you actually want to update.
  • Fields that are marked with a (1) are only required when creating new accounts.
  • If you’re updating existing accounts, select whether you want to identify students by Student ID & Email, Student ID, or Email (radio buttons at the top).
    • If you only have one of the identifiers on your spreadsheet, make sure to switch the radio button to the identifier present on your spreadsheet

  • If your file doesn’t include a field (for example, Telephone), simply leave that box blank.

Examples in the middle column show the format Overgrad expects, not the data in your spreadsheet (e.g., “373228” for Student ID, “5-24-1998” for Birth Date, “Female” for Gender). Ensure the

Step 3: Map Values

If your CSV uses coded values (like F for Female), map those to Overgrad’s accepted values (Male, Female, Other, Prefer Not to Say). If there are no values to be mapped, click Submit to proceed to the last page.

Step 4: Process File

  • You’ll be prompted to opt in/out of sending welcome emails. If sent, students will be asked to activate their Overgrad accounts. For updates you will typically mark "No".

  • Review your selection and Submit.
