NYCPS Overgrad Training Modules

Live Zoom training sessions are offered on a recurring basis year round to allow for flexibility in implementation timelines. They are broken down into short 20 minute sessions to keep material digestible and targeted to what will be most relevant for your role or need at any given time. 


Not sure where to get started? Check out our suggested sequences down below, but remember, you are free to build your own sequence that makes sense for the nuances of your role and responsibilities.

Logging STARS Milestones

(20 min)


This training will focus on Overgrad Milestones, including the STARS Milestones integration feature.


Suggested Audience: guidance counselors, anyone who will be logging STARS Milestones

Attendees Will Be Able To:

  • Keep track of Milestone completion
  • Add individual STARS Milestone notes
  • Bulk add STARS Milestone notes

Utilizing the Bulk Importer

(20 min)



This training will focus on the bulk importer (used for account creation, GPA imports, Test Score imports, student profile updates) as well as some suggested places to source data.


Suggested Audience: account cata administrator, guidance counselors

Attendees Will Be Able To:

  • Use the bulk importer for creating or updating student accounts
  • Identify the student fields recommended for bulk updates
  • Find where in STARS to source data from

Maximizing College Search Features

(20 min)


This training will focus on all things college list related, from finding schools to assessing the final list.


Suggested Audience: Guidance Counselors, anyone implementing Overgrad in a student facing capacity (advisors, teachers, CBO partners, etc.)

Attendees Will Be Able To:

  • Understand how college lists are built
  • Find the college list analysis report
  • Identify key filters in the college search tool
  • Add notes to college profiles

Elevating your Student List Skills

(20 min)

This training will focus on the basic workflow of Student Lists and the functions that exist within it. We will dive into scenarios of filters which you may utilize to target different student groups. 


Suggested Audience: guidance counselors, CBO partners

Attendees Will Be Able To:

  • Understand basic Student List functionality
  • Assign bulk tasks
  • Send targeted messages and emails
  • Utilize key filters

Postsecondary and High School Programs from Start to Finish

(20 min)

This training will focus on the postsecondary and high school programs section of Overgrad. We’ll go over how students  can create lists and update you on their progress.


Suggested Audience: guidance counselors, career advisors, CBO partners

Attendees Will Be Able To:

  • Update or create new postsecondary or high school program listings
  • Update status of program applications
  • Review reporting on programs

Career and Major Exploration

(20 min)

Careers are a great launching point for an introduction to Overgrad. We’ll cover the career survey and career search as well as the interrelated nature of careers, majors and college recommendations.


Suggested Audience: guidance counselors, career advisors, CBO partners

Attendees Will Be Able To:

  • Find the career survey
  • Utilize the career search and its relevant filters
  • Find recommended schools and majors based on career interests
  • Review career exploration progress

Navigating Financial Aid Tools

(20 min)


This training will take you on a quick walk through financial aid tools in Overgrad. From which fields to focus on to how to analyze award letters, we’ll tackle it all.


Suggested Audience: 12th grade guidance counselors, CBO partners working with seniors, college advisors

Attendees Will Be Able To:

  • Understand which financial aid fields are available to track in Overgrad
  • Input financial aid award letters
  • Use student lists to target missing information

Creating Custom Reports and Data Summaries

(20 min)

This training will give you a more in depth look at custom reports and go over scenarios in which you might want to utilize them. 


Suggested Audience: guidance counselors, CBO partners

Attendees Will Be Able To:

  • Identify the differences in the types of reports
  • Add data summaries to reports
  • Convert a report to a student list

Letter of Recommendation Requests

(20 min)

This session will review the LOR process from both student and educator perspectives.


Suggested Audience: guidance counselors, CBO partners, teachers, administrators

Attendees Will Be Able To:

  • Guide students through the LOR request process
  • Fulfill outstanding LOR requests
  • Review differences for CUNY, SUNY, and Common App LOR requests

Application Manager

(1 hour)



This session covers the basic workflow for application management for first time users.

Suggested Audience: senior guidance counselors, CBO partners, college advisors

Attendees Will Be Able To:

  • Implement suggested settings and strong practices specific to Overgrad’s Application Manager tools   
  • Cover the essential parts of managing applications with Overgrad, including how student’s link their Common App accounts
  • Include both Counselor/Educator and student workflow perspectives
