This article will explain how to create a spreadsheet to upload GPAs in bulk into Overgrad.
1. Generating a file from your Student Information System: If you are generating a CSV text file by exporting data from your school or district’s Student Information System (PowerSchool, Tyler SIS, Infinite Campus, etc.), follow these steps:
- Select the records you would like to export (ie all current students).
- Select the fields to include in your export file.
- Save the file to your hard drive in a comma-separated value (CSV) text format.
Manually preparing a spreadsheet: If you are preparing your text file manually using a spreadsheet program like Microsoft Excel or Google Docs, follow these steps:
- You may download a template CSV or create the file on your own. If you are starting with a blank document, place each field in a separate column. For example, one column could be for the student's ID, another for the GPA Type, and another for the student’s GPA for the indicated GPA Type.
- Place each GPA in its own row.
- Save the file to your hard drive in a comma-separated value (CSV) text format.
Below is an example CSV that shows how the first row contains the headers and each additional row contains the data for one student. The actual file may look different depending on the fields you choose to import.
School | Student ID | GPA Type | GPA |
Overgrad High School | 1675321 | unweighted_gpa | 3.12 |
Overgrad High School | 1456724 | unweighted_gpa | 2.04 |
When uploading GPAs in bulk, you can upload GPAs for your entire student body in a single file or upload separate files for separate grade levels. Districts with multiple high schools can load all of their schools in a single file. Overgrad’s Bulk Uploader supports the fields as shown (fields marked with a * are required to upload GPAs). PLEASE NOTE, THE STUDENT'S GPA MUST BE CONVERTED TO A 4.0 SCALE.
Field | Description |
High School* | Name of the high school the student attends. |
Student ID* | Unique, district-assigned student ID, which can contain alphanumeric characters. |
GPA Type* | The type of GPA. Options include unweighted GPA, weighted GPA, and core GPA. |
GPA* | The student's GPA on a 4.0 scale. |
